Lead Booker Responsibilities
The person named on the booking form is considered the "lead booker," and our contract will be solely with them. It is the lead booker's responsibility to ensure all members of their party are aware of and comply with these terms and conditions.
Booking and Payment
A non-refundable deposit must be paid within 48 hours of receiving confirmation of available dates. This deposit secures your booking and constitutes acceptance of these terms and conditions. Your provisional booking may be cancelled if we do not receive the deposit within this time. Please contact us immediately if you experience difficulties making payment.
• B&B Short Stays (2 days or less): Full payment is required when booking and is nonrefundable.
• Bookings within 30 Days: Full payment is required at the time of booking and is nonrefundable.
Upon receiving your booking confirmation, please check the details and notify us immediately of any errors.
The final payment is due 30 days before your arrival date.
We will confirm receipt of payments via email. Failure to make the final payment by the due date, without prior contact, will result in the cancellation of your booking and the re-advertisement of the dates
We reserve the right to decline any booking.
Breach of Terms and Conditions
If you breach any of these terms and conditions during your stay, you will be asked to leave immediately. This will be considered a cancellation of your holiday, and no refunds or compensation will be provided.
Payment Methods
Payments can be made via BACS using Internet Banking. Our bank details will be provided in the booking confirmation email.
Cancellations by Guests
All cancellation requests must be submitted via email to info@hafrenforesthideaway.com.
Cancellation Terms:
30 days or more before arrival: Refund of the booking fee, minus the non-refundable deposit.
Less than 30 days before arrival: No refund will be provided.
Cancellations or Alterations by Us
The owner reserves the right to refuse any booking and to cancel any bookings already made if the property is unavailable due to unforeseen circumstances (e.g., fire, flood, etc.). In such circumstances, a full refund of all monies paid will be made, but no further liability will be incurred. The owner shall not be under any other liability if such cancellation occurs. Note: In the unlikely event of a cancellation, the agent/owner will make every possible effort to secure alternative accommodation if required.
If your holiday is terminated early due to unforeseen circumstances or reasons beyond our control, a partial refund will be issued based on the remaining time of the booking. This will be the full extent of our liability, and no additional compensation, expenses, or costs will be payable.
We are not responsible for failures in utilities such as power cuts or water supply issues. While we offer free WiFi, we cannot be held accountable for loss of service if outside our control.
Dogs
If you wish to bring your dog, this option is available only if other Bed and Breakfast guests are comfortable with having dogs at the Hideaway during their stay.
Kitchen Use
We aim to create a homely environment by providing access to the lounge and dining room. Guests are welcome to use the kitchen to make hot or cold drinks, but preparing or cooking meals in the kitchen is not permitted.
We offer evening meals, which can be booked at the time of your reservation. If an evening meal is not booked, guests are expected to dine out. The nearest town, located 9 miles away, offers a variety of pubs and restaurants.
Smoking
We operate a strict No Smoking/Vaping Policy in all rooms and buildings. If you wish to smoke or vape, please use the designated area near the chimenea and dispose of your used cigarettes appropriately.
Liability
Other than for death or personal injury caused by our negligence or misrepresentation, our total liability to you is limited to the price of the booking. To the fullest extent permitted by law, all warranties are excluded, and in no circumstances will we be responsible for any indirect or special damages.
We will not be liable for failure to perform if such failure is caused by any factor beyond our reasonable control.
Guests are responsible for any damage or loss caused to us or our property by their act, omission, default, or neglect. Guests agree to indemnify us and pay for any reasonable costs required to make good or remedy any such damage or loss.
Termination of Booking
We reserve the right to terminate your booking immediately without being liable for any refund or compensation if guests do not comply with these terms and conditions, are deemed a risk to health and safety, or exhibit unacceptable behavior. Complaints from other guests about such behaviour may also result in termination of the booking, without any refunds.
Additional Information
Towels are included in your stay, but you will need to bring your own toiletries. Towels are provided for use in the Hideaway only. If you require a towel for your activities outside the Hideaway, please bring your own.
We do not have an alcohol license; however, guests are welcome to bring their own alcoholic beverages. We provide an allocated fridge to keep them cool.
Complimentary tea and coffee are provided throughout your stay.
Footwear and Outdoor Gear: We encourage guests to bring slippers for use inside the accommodation, as we ask that outdoor shoes be left in the boot room. Wet outdoor clothing and gear should also be left in the boot room and not taken into your bedroom.
While we do not have an alcohol license, guests are welcome to bring their own alcoholic beverages. An allocated fridge is available to keep drinks cool.
Dietary Requirements: Please inform us of any dietary requirements or food allergies when making the final payment.
PRE-ARRIVAL
When you are half an hour away, please text us at 07871740514 to let us know.
ON ARRIVAL
Please drive around the back of the Hideaway and park in our car park. We will greet you upon arrival. Check-in is from 16:30, and we ask that guests arrive before 19:00. Please do not arrive earlier than 16:30, as we may not be ready to receive guests due to other duties.
CHECKOUT
Check out is 10:00
GUEST AREAS
Guests are welcome to use the garden, including access to the campfire area through the coppice. Please take care on uneven ground and tree roots; sensible footwear is advised. No unaccompanied children are allowed in this area.
Please do not feed the horses in our neighbour’s field.
LAUNDRY
We can provide laundry services for washing and tumble drying, with charges as per the notice in the laundry room.
CAR PARKING FACILITIES
On arrival, drive down the lane in front of Hafren Forest Hideaway. At the end of the second hedge, turn right into our car park.
Parking is at your own risk. Please park considerately and drive slowly down our lane.
ELECTRIC VEHICLE CHARGING
Charging from a 13amp socket is not permitted on the property. There are no facilities to charge your Electric Vehicle; the nearest charging point is 9 miles away in Llanidloes. We can charge EMTB bikes, but please inform us in advance as there are specific rules we need to follow per our insurance policy.
THE CUSTOMER WILL
Take all reasonable care to avoid damaging the premises or any fixtures, fittings, or other items belonging to Hafren Forest Hideaway B&B. Any damage caused will result in the issue of an invoice covering the cost of repair and/or replacement, including administration costs. The amount on the invoice will be final and binding.
Refrain from smoking inside the premises. Failure to comply with the no-smoking policy will result in a minimum charge of £100.00 for cleaning and any related damages or losses, with the amount being final and binding.
Drive at no more than 5mph on our property and acknowledge that their car and belongings are left at their own risk.
Ensure that no third parties are invited onto the premises, and only registered guests are allowed to stay.
